RSRI Policy for the Use of AI Note-Taking Tools During Webinars

The Refugee Self-Reliance Initiative (RSRI) is committed to fostering open dialogue while protecting the privacy, dignity, and confidentiality of everyone who participates in our events. RSRI webinars often include practitioners, researchers, refugee leaders, and others who share experiences, lessons learned, and perspectives from sensitive humanitarian and displacement contexts. Discussions may also reference unpublished research, programmatic information, or examples involving vulnerable populations.

For these reasons, the RSRI does not permit uninvited third-party AI note-taking tools, recording bots, or other automated transcription services to join public webinars. This policy helps protect participant privacy, safeguard sensitive information, respect intellectual property, and reduce the risk that discussions involving refugees or humanitarian programming are stored, processed, or redistributed through external AI platforms.

All RSRI webinars are recorded and transcribed using official, secure platform tools. Webinar recordings and related resources are shared with all registered attendees following the event. The RSRI reserves the right to remove unauthorized AI note-taking or recording bots from any webinar.

We recognize that AI-assisted note-taking and personal recording tools can be important accessibility accommodations. Participants who require these tools for accessibility purposes may request approval in advance. Requests will be reviewed by RSRI staff on a case-by-case basis, taking into account the nature of the event, the sensitivity of the discussion, and the privacy of presenters and participants.
